8Transportation

Please note that any kind of transportation and parking is the sole responsibility of the registrant.

Insurance

Please note that we do not provide any kind of insurance and the registration amount doesn’t include any insurance charges.

Responsibility

Delegates, Speakers, or Attendees are responsible for their belongings at the conference venue. The Organizers at the venue will not be held responsible for any misplaced or stolen
items belonging to Delegates, Speakers or Attendees, due to any reason whatsoever.

Press/Media

Press permissions are subject to approval hence any press permissions must be obtained and approved from Episirus Scientifica (neuroscience.episirus.org/bangkok) Conferences Organizing Committee prior to the event/conference. The press will not quote about speakers or delegates or attendees unless they have obtained their permission in writing. The Episirus Scientifica (neuroscience.episirus.org/bangkok) is an objective third-party non-profit organization. We are completely a self-funded organization, promoting medical research works. This conference is not associated with any commercial meeting company.

Requesting an Invitation Letter

Letter of invitation, for security purposes, will be sent only through the mail and only to those individuals who have registered for the conferences mentioned on the website: neuroscience.episirus.org/bangkok. Upon your successful registration, please contact us at neuroscience@episirus.org to request a personalized letter of invitation. The organization follows a certain format of invitation letter apart from which no other forms or format of invitation letter will be provided to the registrant.

Cancellation Policy

If Episirus Scientifica (neuroscience.episirus.org/bangkok) cancels the conference or the event for any reason*, a full refund (100%) will be initiated to the registrant. You can also use the amount to register for any other Episirus Scientifica (neuroscience.episirus.org/bangkok) conferences occurring within one year from the date of cancellation.

*Cancellation of the conference due to the act of god, any disease outbreak or epidemic which may affect the participants or organizers and due to any political situations created due to government decisions will result in no refund of the amount.

Postponement

If Episirus Scientifica (neuroscience.episirus.org/bangkok) postpones the conference for any reason and you are unable to attend on rescheduled dates, a full refund* (100%) will be initiated to you, which will be the registration fee paid. You can also use the amount to register for any other Episirus Scientifica (neuroscience.episirus.org/bangkok) conferences occurring within one year from the date of cancellation.

*Postponement of the conference due to the act of god, any disease outbreak or epidemic which may affect the participants or organizers and due to any political situations created due to government decisions will result in no refund of the amount if the participant wishes to cancel his/her registration or accommodation or both.

Transfer of registration

Registrations paid in full amount can be transferred to other people from the same organization. The registered person should mail us as at neuromeet@episirus.org regarding the transfer including the full name of the replacement person, their title, email address, and phone number.

Registrations cannot be transferred to another person if informed 15 days prior to the conference.

One can transfer their registration to the upcoming conferences by writing to us via email at least 30 days prior to the registered conference.

The refund policy is not applicable to the transferred registration.

Visa Information

Since the security measure has been increased for obtaining the Visa, we request all the participants to apply for the visa as soon as possible.

Episirus Scientifica (neuroscience.episirus.org/bangkok) is not liable to contact the Embassy or assist regarding a visa application for the delegates, speakers, or attendees.

Important note for failed visa applications: Visa issues are cases that are one’s personal issue and cannot be considered for cancellation of registration. Hence Episirus Scientifica (neuroscience.episirus.org/bangkok) policy doesn’t include refund policy for such cases.

Refund Policy:

Situations, where the registration needs to be cancelled and transfer of registration is not possible, below are the arrangements which can be made:

Since for arrangements like Venue booking, Printing, Shipping, Hotels, and other overheads payments are done in advance, we had to keep Refund Policy as following

  1. Virtual Participation, E-Poster and Video Presentation registration fees are non-refundable.
  2. Cancellation made within 30 days of registration, are eligible for a full refund (processing charges will be deducted) except for the categories mentioned in point number 1. This condition does not apply to Participants registering after December 08th, 2024. No refund shall be processed after December 08th, 2024.
  3. Participants can cancel their registration before December 08th , 2024 and can avail full refund (processing charges will be deducted).
  4. Any refund after December 08th, 2024 is not possible. If the conference is postponed or cancelled from the management side, then you are eligible for a full refund (processing charges will be deducted).

Hybrid /Virtual Participation Refund Policy:

Dear Participants, if the management finds out that it is not possible to go ahead for a physical conference then, they have the right to convert the conference fully to a Virtual Conference.

  1. In such cases, participants are eligible for a difference refund amount of = Original Registration Fees – Virtual Participation Registration Fees.
  2. Participants not opting for any refunds can claim a 50% discount on the registration fees for the upcoming conferences in 2024-2025.
  3. Virtual Participation, E-Poster and Video Presentation registration fees are non-refundable.
  4. Other than above, no refunds shall be provided after December 08th 2024.

Accommodation Cancellation Policy:

People who opt for Accommodation will be provided Accommodation as per the bookings made by Episirus Scientifica (neuroscience.episirus.org/bangkok). Generally, hotels have their own cancellation policy of 30-60 days, so at any point of time you feel to cancel your accommodation, please write to us immediately at neurocongress@episirus.org, so that we can make necessary arrangements for cancellation. A situation where the Hotel policy declines to provide a refund, then Episirus Scientifica (neuroscience.episirus.org/bangkok) is not liable to provide a refund.

Authorization Policy

By registering for the conference, you grant permission to Episirus Scientifica : WNPC24 to photograph, film or record and use your name, likeness, image, voice and comments and to publish, reproduce, exhibit, distribute, broadcast, edit and/or digitize the resulting images and materials in publications, advertising materials, or in any other form worldwide without compensation. Taking of photographs and/or videotaping during any session is prohibited. Contact us for any queries.
